  • Overview

    POSITION SUMMARY:  Provide support for the Sales, Marketing and Client Services team.  Primary duties include drafting written responses to Requests for Proposals (“RFPs”), and coordination of tradeshow/sponsorship activity including event logistics and budget tracking.  Must be a fast learner, and able to balance multiple projects in a fast-paced, deadline-sensitive environment, while maintaining a strong sense of customer service.

    Responsibilities

    DUTIES AND RESPONSIBILITIES:

    • Responsible for writing First Draft of RFP responses, coordinating with Sales and cross-functional teams to deliver complete, high-quality, on-time responses to Requests for Proposals (“RFPs”)
    • Update the RFP response database as new information becomes available, including attachments such as org charts, staff bios, etc
    • Productions (printing, binding, shipping) of proposal and presentation material
    • Provide general support to Sales, Marketing & Client Services departments
    • Manage inventory of marketing collateral and giveaway items
    • Manage sponsorships and tradeshows, reserve space, coordinate set-up services timely
    • Plan corporate events
    • Track expenditures against master budget; maintain detailed records.
    • Order, maintain, and distribute office supplies
    • Special projects, as needed
    • Perform other duties assigned
    • Must be available to work occasional evenings, sometimes with short notice.
    • Must be able to fully cross-train with and provide back-up to the Marketing and Communications Manager in the preparation, generation of responses, and assembly of Request for Proposals (RFPs)
    • <5% travel

     

     

    EQUIPMENT OPERATED/USED:  Computer, printer, copier, fax, binding machine and other office equipment.

    Qualifications

    QUALIFICATIONS REQUIRED:

     

    Education/Experience

    • Bachelor’s degree in English, Business, Communications, Marketing or related field
    • Three (3) years’ experience in Marketing, Communications and/or Insurance strongly preferred.

     

    Knowledge, Skills and Abilities:

    • Excellent written and verbal communication skills.
    • Strong prioritization and multi-tasking skills
    • Ability to work efficiently under pressure and meet tight deadlines.
    • Detail-oriented, self-starter, ability to work independently in a fast-paced environment.
    • Excellent problem-solving skills
    • Proficiency in Microsoft Office applications, including Word, PowerPoint, Excel, and Outlook;
    • Graphic design capabilities preferred.
    • Responsible, proactive and well-organized, with the ability to manage multiple projects
    • Ability to interact with a wide range of internal and external clients in a professional manner
    • Strong work ethic and ability to maintain confidentiality
    • Excellent organizational, time management, and multi-tasking skills
